Executive Assistant, Office of the COO

We are seeking an experienced and resourceful Executive Assistant to support our Chief Operating Officer. The ideal candidate will have 3+ years of experience in executive support, exceptional organizational skills, and a keen ability to manage competing priorities in a fast-paced, dynamic environment.

This role demands discretion, professionalism, and a proactive approach to problem-solving. This position is NY-based, in-person, and will join a collaborative team among other Support roles. 

Key Responsibilities

  • Provide high-level administrative support to the COO, including calendar management, meeting coordination, and longer-term management of projects and priorities
  • Arrange all travel, including international and domestic trips; secure visas, book hotels, coordinate local transportation, and handle other travel-related logistics
  • Anticipate needs and proactively identify opportunities to create efficiency, solve problems, and ensure our COO is always prepared
  • Manage a high volume of complex scheduling and quickly shifting priorities 
  • Serve as the first point of contact for a wide variety of high-level relationships between the COO and industry professionals
  • Plan and execute logistics for external meetings, business trips, off-sites, and events with partners, investors, and stakeholders
  • Liaise with a broader team of coordinators and executive assistants to ensure alignment across calendars
  • Prepare and process documents, contracts, expense reports, and other confidential materials
  • Track and follow up on action items, deadlines, and deliverables
  • Identify, prepare, and compile necessary materials to ensure that the COO has appropriate information for meetings, presentations, and special projects, as needed
  • Develop in-depth knowledge of complex relationships with partners, vendors, and industry professionals
  • Run personal errands for Executives as needed
  • Manage ad hoc projects and tasks as assigned, often with quick turnaround

Qualifications

  • 3+years of experience supporting senior executives, preferably in the entertainment space
  • Strong organizational and time management skills, with impeccable attention to detail
  • Excellent written and verbal communication skills
  • Ability to handle confidential information with discretion and professionalism
  • Adept at juggling multiple priorities in a deadline-driven environment
  • Collaborative team player with a no-task-too-small mindset
  • Calm, solutions-oriented demeanor
  • Proficient in Microsoft Office, Google Workspace, and expense/reporting systems (e.g., Ramp, Expensify)
  • Humble, diligent, and resourceful

Our target salary range for this role is between $75,000 to $90,000. We do not use formal job titles internally and similarly named positions may have different compensation levels. Actual starting salary within the range will depend on various considerations, including: work experience, skills, specializations, and training. This role is also eligible for an annual performance bonus, including both cash and equity components, competitive healthcare, as well as other employee benefits.
